Lower School Receptionist and Head of Schools Assistant Position: Receptionist + Head of Schools Assistant Reports to: Lower School Principal for Receptionist duties and Head of Schools for Assistant duties Qualifying Characteristics Maintains Christian values, a bold believer, and enthusiastic Upholds the image, mission, vision, and values of TPCS Desires to grow both spiritually and professionally Communicates and engages with staff, families, and guests in a Christ‑like manner Qualifications 2‑3 years of receptionist and/or assistant experience Strong organizational, communication, confidentiality, and problem‑solving skills Attention to detail Prior experience in a school setting is a plus Proficiency in Google Suite and Microsoft Office is a plus Responsibilities Answer incoming phone calls. Greet all visitors and process their licenses through the Hall Pass system to ensure the safety of our students and staff. Document and review the attendance of students who are tardy (whether they have been informed of their tardiness or not) and check out students leaving the school with their guardians. Sign off on incoming packages and ensure they are distributed to the appropriate recipient. Manage the Head of Schools' calendar including scheduling and coordinating lunches for special events and meetings. Assist the Head of Schools with daily administrative tasks and responsibilities. Work with the Safety Team on alarm drills. Maintain a clean and presentable office environment, including the Teacher's Workroom and front office area. Assist the school nurse in the event she cannot be in the school. Assist and/or monitor students in the office if the principal, assistant, or teacher is not available. Coordinate after‑school clubs with teachers or others outside of our school, including scheduling on ParentSquare, contacting the social media coordinator to post on ParentSquare, and creating spreadsheets for participating clubs. Track Volunteer Hours and provide information and run reports. Assist with substitute teacher coverage for the Lower School through the EZ Sub system, including training and answering questions from teachers and reaching out to listed substitutes regarding availability. Coordinate car name tags for parents when picking up students. Create mailbox labels in the Teacher's lounge and the Administrative office. Assist Lower School Admissions with Open House events. Other duties as assigned.
