Personal Assistant to CEO

25-30 hours/week

Key Responsibilities

David Gold, CEO of Global Health Strategies, is seeking a highly organized individual to help manage his personal, family, and household responsibilities, with an additional component that supports aspects of his professional role.

This position encompasses responsibilities in three main areas:

  1. Household Management
  2. Family Support
  3. Record-Keeping and Finances

David Gold has three children, one in sixth grade and two in college, and requires support for both personal and select professional responsibilities. The ideal candidate will be comfortable working partially in person at the family’s Upper West Side apartment to ensure that:

  • His youngest daughter’s educational, social, extracurricular, and health activities are well organized and up to date.
  • Household logistics such as supplies, a new apartment search, and an upcoming renovation are managed effectively.
  • Record-keeping, bills, and financial matters are handled in a timely and accurate manner.
  • Family trips, vacations, and activities are thoughtfully planned and coordinated.
  • His personal commitments and responsibilities are organized and prioritized.

The role will also involve close coordination with David Gold’s executive assistant at Global Health Strategies to ensure seamless calendar management across both personal and professional domains.

Some of the key activities of this position include:

Household

  • Oversee upkeep, maintenance, and scheduling for home and rental properties, including opening and closing the family’s Fire Island residences.
  • Ensure family IT and video equipment is properly maintained and functional.
  • Assist in locating and securing a new apartment in New York City.
  • Work with contractors to manage renovation projects for a second apartment.
  • Support the hiring and coordination of a part-time chef.
  • Manage grocery shopping, household errands, and inventory tracking.
  • Oversee maintenance of family automobiles, including inspections, servicing, and fueling.
  • Order household supplies and maintain inventory across all family properties.

Record-keeping/Finances

  • Organize and pay household bills, including utilities, insurance, and other recurring expenses.
  • Support annual tax filings by gathering and organizing documents and liaising with the family’s personal tax accountant.
  • Maintain and organize personal files, including electronic filing systems.
  • Oversee functionality of office equipment such as computers, printers, and fax machines, and manage related supplies.

Family responsibilities

  • Plan and coordinate family vacations and travel in collaboration with a travel agent.
  • Organize school paperwork, schedules, and calendars for David Gold’s sixth-grade daughter.
  • Coordinate extracurricular activities in partnership with her parents.
  • Support planning and logistics for her Bat Mitzvah in January.
  • Organize social and holiday dinners for friends and extended family.
  • Schedule and manage medical, dental, orthodontic, and other health appointments for David Gold and his daughter.
  • Coordinate and plan social and educational activities for the youngest daughter.
  • Research, purchase, and coordinate gifts for birthdays, holidays, and special occasions.
  • Plan and manage logistics for occasional family events and gatherings.

Work-related responsibilities

  • Coordinate personal and professional responsibilities to ensure seamless scheduling.
  • Assist with occasional work-related tasks.
  • Collaborate closely with David Gold’s Executive Assistant at Global Health Strategies.

Skills for Success and Qualifications

  • Proven experience as a personal or administrative assistant.
  • Excellent organizational skills, attention to detail, and ability to multitask effectively.
  • Experience managing household and family logistics.
  • Honest, trustworthy, reliable, punctual, and discreet; capable of handling confidential information with integrity.
  • Energetic yet even-tempered, adaptable to the needs of a large extended family, with a positive outlook and sense of humor.
  • Proficiency with technology and office software, including Microsoft Office Suite and Google Workspace (calendars, invites, Google Drive, Dropbox, etc.).
  • Flexibility to adjust schedule during the week and, on rare occasions, on weekends with advance notice.
  • Demonstrated ability to exercise sound judgment and take initiative.
  • Strong skills in system creation and organizational management.
  • Exceptional written and verbal communication abilities.

NYC Range: $40.00 - $50.00/hour
